This Privacy Policy explains how Oneintelligent collects, uses, and protects personal data. We wrote it to be simple, transparent, and honest about what we do today and what we are still building toward.

1. Who we are

Oneintelligence Technology Private Limited (“Oneintelligent”, “we”, “us”) provides Oneintelligent, which helps businesses scale with process, product and intelligence. Registered address: 248, Periyaputhur, Govindapuram, Dharapuram, Tiruppur, Tamil Nadu, India - 638657.

Contact for privacy questions and rights requests: support@oneintelligent.ai.

Use of the Service is also governed by our Terms of Service (/terms).

2. What we are, what we are not yet, and where we aspire

What we are today: a global work platform. We collect only what we need to deliver and secure the Service, we do not sell personal data, and we give workspace admins controls over user access. We respect applicable privacy laws where we operate and where customers use the Service, including India’s Digital Personal Data Protection Act (DPDP) framework as it applies, and we honor rights under other laws where they require us to act.

What we are not yet: we do not claim completed GDPR certification or formal GDPR attestation as done. We do not claim SOC 2, ISO 27001, or similar audits as completed unless and until we publish that achievement. This Policy is not legal advice for your organization.

Where we aspire to be every day: we continuously strengthen privacy and security practices toward internationally recognized standards (including GDPR-aligned controls), improve documentation for customers (such as DPAs and clearer subprocessor detail), and raise the bar on transparency. Compliance is a journey we take seriously, not a badge we fake.

3. Roles: your workspace vs our platform

Account and billing data: when you sign up or pay, we decide how to process that personal data to run Oneintelligent (we act as a controller / data fiduciary for that limited set).

Customer Content in your workspace (projects, CRM, HR, notes, messages, and similar): you decide what to put in and why. You are typically the controller / data fiduciary for that personal data; we process it as a processor / service provider to provide the Service on your instructions.

You are responsible for lawful collection and use of personal data about your employees, customers, and other people that you store in the Service.

4. Data we collect

Depending on how you use the Service, we may process:

  • Account data: name, email, password or auth tokens, role, company affiliation
  • Company data: organization name, industry, billing contacts, plan and subscription status
  • Customer Content: information you and your users submit in the workspace
  • Usage and technical data: logs, device/browser info, IP address, feature usage, diagnostics for security and reliability, product analytics (page path templates and control names, without personal or confidential record content), and masked session replay for product improvement
  • Support data: messages you send to support
  • Payment data: processed by our payment providers; we typically receive confirmation and limited billing metadata, not full card numbers

5. Why we use data

We use personal data to:

  • Provide, maintain, and improve the Service
  • Authenticate users, secure accounts, and prevent abuse
  • Bill and manage subscriptions
  • Provide support and communicate service-related notices
  • Comply with law and enforce our Terms
  • Develop product insights using aggregated or anonymized information where practical

6. AI processing

If you use AI features, relevant Customer Content or prompts may be sent to AI providers solely to generate a response for your request.

Where a provider allows, we configure and contract so Customer Content is not used to train that provider’s foundation models. This is not an absolute guarantee for every configuration. Admins may disable AI where the product allows. See also the AI section of our Terms of Service.

7. Who we share data with

We do not sell personal data. We share data only as needed with trusted categories of service providers:

Infrastructure and hosting; email and communications; payment processors; AI model providers when you use AI features; and professional advisors or authorities when required by law or to protect rights and safety.

Our current material subprocessors are: AWS (infrastructure and hosting), Amazon RDS (managed database), Razorpay (payments), Anthropic Claude (AI model provider), Microsoft (email delivery), and Google (analytics and location services). For an up-to-date list or changes, contact support@oneintelligent.ai. We require appropriate contractual and security safeguards from providers who process personal data for us.

8. Global use and transfers

Oneintelligent is built for work globally. Data may be processed in India and in other countries where we or our providers operate.

When we transfer personal data internationally, we use appropriate safeguards consistent with applicable law. Customers remain responsible for ensuring their use of the Service is lawful in the jurisdictions where they and their users operate.

9. Retention, export, and deletion

We retain personal data as long as needed to provide the Service, meet legal and accounting obligations, resolve disputes, and enforce agreements.

Workspace admins can manage users and much of Customer Content in product. On account closure or request, we provide reasonable export assistance for Customer Content within a reasonable period, then delete or anonymize data according to our retention practices, except where law requires retention.

10. Security and incidents

We use practical, industry-standard measures such as encryption in transit, access controls, and secure storage. No method of transmission or storage is perfectly secure.

If we become aware of a security incident that reasonably appears to compromise personal data in Customer Content, or when notice is required by law, we will notify affected customers without undue delay, consistent with investigation and legal requirements.

11. Your rights

Depending on applicable law (including India’s DPDP framework and, where they apply, laws such as GDPR or CCPA), you may have rights to request access, correction, deletion, portability, or restriction of certain personal data, and to withdraw consent where processing is based on consent.

For account data we control, contact support@oneintelligent.ai. For personal data in Customer Content, contact your company admin first. They control that workspace. We will respond within the time required by applicable law (typically within 30 days where such a timeline applies).

If you are an individual whose data was uploaded by a customer, please contact that organization. We will assist the customer as required by law and our agreements.

12. Children

The Service is built for work and is not directed at children under 16. We do not knowingly collect personal data from children under 16. If you believe we have, contact us and we will take appropriate steps to delete it.

13. Cookies and similar technologies

We use cookies and similar technologies for authentication, security, preferences (such as theme), and understanding how the Service is used so we can improve it. On the public site and in the workspace we use Google Analytics to record pages viewed and in-product controls clicked, and Microsoft Clarity for session replay and heatmaps. Those tools receive a module and a sanitized page path (record IDs replaced), not names, emails, messages, or values you type. Clarity recordings mask text and inputs. Clarity may set cookies such as `_clck` and `_clsk`. You can control cookies through your browser settings; disabling some cookies may limit functionality.

14. Changes to this Policy

We may update this Privacy Policy. For material changes, we will provide notice by email, in-product notice, or posting on our website, with at least 30 days’ notice where required. The “Last updated” date will change.
